AI accounts payable automation that works with your ERP
For mid-market finance teams, accounts payable is where manual work and month-end pressure meet. Our agents do the matching and checking inside your existing ERP, while your team keeps control of every posting.
The problem
Why AP is still the bottleneck in mid-market finance.
Finance teams have automated a lot, but the step from supplier invoice to approved posting is still mostly manual.
Three-way matching by hand
Every invoice needs a purchase order and a goods receipt to agree with it. With partial deliveries, price changes and freight, matching becomes slow, repetitive and error-prone.
Exceptions that sit for weeks
Invoices that do not match wait in someone's inbox. Suppliers chase payment, early-payment discounts are missed, and nobody can see the full list of open exceptions.
A month-end close that runs late
Unposted invoices and unexplained accruals hold up the close. Controllers spend the last days of the month chasing documents instead of reviewing the numbers.
The agents
Agents that solve it, on top of your ERP.
Configured with your tolerances, approval limits, cost centers and close calendar.
Invoice Processing Agent
Two-way and three-way matching, line by line, with clear reasons for every exception.

Month-end, with the exceptions already explained.
Illustrative example, based on a typical workflow. Not a client result.
- Open invoicesMatched, unmatched and missing receipts.
- AgentRe-checks exceptions, finds receipts, drafts supplier queries.
- Controller reviewApproves postings, accruals and queries.
- ERP updatedPostings and accruals recorded with an audit trail.
Three days before month-end, the controller asks the ERP Knowledge Agent, "Which supplier invoices are still unposted, and why?" The agent lists 63 invoices, grouped by reason: 31 waiting for goods receipts, 18 with price differences, 9 missing a PO and 5 suspected duplicates.
The Invoice Processing Agent has already re-checked the 31 waiting for receipts and found 22 have now been received. Those are matched and queued for approval. For the price differences it has drafted supplier queries and proposed accruals for the controller to review.
The team works through a short, explained list instead of a pile of paper, and every decision is logged for the auditors.
The difference is not that the work disappears. It is that the routine checks are already done, the reasons are written down, and the people with the judgment spend their time on the decisions only they can make.
Pilot plan
How an AP automation pilot runs for a finance team.
A fixed-scope, fixed-price pilot on your real data, live in 4–6 weeks.
Weeks 1–2: connect
Read-only access to purchase orders, goods receipts, the vendor master and open items. We baseline cost per invoice and time to approval on your own data.
Week 3: configure
Tolerances, approval limits, cost centers, tax handling and duplicate checks are set from your finance policies and close calendar.
Weeks 4–5: shadow run
The agent matches every new invoice and explains every exception, in parallel with your team. Results are compared daily before any posting is allowed.
Week 6: approve and post
Approved invoices post through your ERP's interface with a full audit trail. We hand over the measures, the logs and the code for your auditors.
What we need from you: a named AP or finance owner, read access to your ERP's purchasing and payables data, your written approval limits, and a sample of recent invoices and exceptions.
Results
What we will measure.
We baseline these numbers in discovery and report them during the pilot, on your own data.
Where finance teams usually start
Start with the suppliers that send the most invoices, read-only. The agent matches their invoices in parallel with your team for two weeks so you can compare results, then posting with approval is switched on.
Choose a pilot scope that is easy to measure: for example, the 20 suppliers that send the most invoices, or one company code. Agree the success measures before the pilot starts, such as the share of invoices matched without manual touch and the time from receipt to approval. Once those are met, adding more suppliers, company codes or the month-end questions for the ERP Knowledge Agent is a small, fixed-price extension rather than a new project.

FAQ
Common questions.
Will the agent change our approval limits or controls?
No. Your existing approval limits, segregation of duties and payment controls stay in place. The agent adds an approval step; it does not remove one.
Can auditors follow what the agent did?
Yes. Every invoice has a trail from the original email to the posting: what was extracted, what was matched, who approved it and when.
Does it handle multiple companies and currencies?
Yes, following how your ERP is set up for company codes, currencies and tax.
What about fraud and duplicate invoices?
The agent checks for duplicates and flags changes to supplier bank details for extra approval.
Can we start without changing our ERP?
Yes. That is the point. The agent works on top of your current ERP. See how it works.
