AI agent · Invoice Processing Agent
AI invoice processing that matches every invoice to its PO
Supplier invoices go from the inbox to a matched, approved ERP posting, with exceptions flagged for your AP team instead of buried in a pile.
Quick answer
How does AI invoice processing work?
An AI invoice agent reads each supplier invoice from email, scan or e-invoice, extracts header and line data, and matches it to the purchase order and goods receipt within your tolerances. Matched invoices wait for one-click approval; exceptions are explained in plain English. Nothing posts to the ERP until a person approves it.
What it does
Three-way match automation for accounts payable.
The agent handles the reading, matching and checking. Your AP team handles the decisions.
Reads invoices in any format
PDF, scanned paper, email body or e-invoice. The agent extracts supplier, invoice number, dates, tax and every line item.
Matches invoice to PO and goods receipt
Two-way and three-way matching against your purchase orders and receipts, line by line, within the tolerances you set.
Flags exceptions with reasons
Price variances, quantity differences, missing receipts, duplicates and unknown suppliers are explained in plain English.
Prepares the posting
Coding, tax and cost center are filled in from the PO and your rules, ready for one-click approval.
Remembers each supplier's quirks
When your AP team corrects a field, the correction is saved as a rule for that supplier: where the PO number sits, which unit they invoice in, how they show freight. The next invoice from that supplier uses the rule. Rules are listed and editable, and nothing is retrained in secret.
Workflow
From input to an approved update.
The agent does the work. A person approves the result. Only then does anything change in your systems.
- Invoice arrivesEmail inbox, supplier portal, scan or e-invoice.
- AgentExtracts data, matches to PO and receipt, checks tolerances.
- Human approvalAP reviews matched invoices and resolves exceptions.
- ERP postingApproved invoices post to your ERP with an audit entry.
1. Capture
The agent watches your AP mailbox or scan folder. It separates invoices from statements and reminders and detects duplicates before anyone touches them.
2. Extract and validate
It reads header and line data, checks the supplier against your vendor master, and validates tax numbers, totals and dates.
3. Match
It finds the purchase order and goods receipt, compares prices and quantities line by line, and applies your tolerance rules.
4. Approve and post
Clean matches are grouped for quick approval. Exceptions arrive with the evidence and a suggested action. After approval, the agent posts through your ERP's own interface.
Before and after
What changes for your team once the agent is live.
| Area | Before (manual) | After (with the agent) |
|---|---|---|
| Handling each invoice | Opened, read and keyed line by line into the ERP | Captured and matched automatically; a person reviews one summary card |
| Keying errors | Typos in amounts, dates and PO numbers found late, or not at all | No re-keying; every line is checked against the PO and goods receipt |
| Exceptions | Price and quantity differences discovered at payment time | Flagged on arrival with the evidence and a suggested action |
| Duplicates | Caught only if someone remembers the invoice | Detected before anyone works on it |
| Receipt to approval | Invoices wait in inboxes and on desks | Clean matches are ready for approval the same day |
We measure your own before-and-after numbers during discovery and the pilot.
Example scenario
Illustrative example · not a client result
A mid-sized manufacturer receives a 14-line invoice for machined parts. The agent extracts every line, finds the matching purchase order and two partial goods receipts, and spots that line 7 is billed 2.4% above the PO price, inside the 3% tolerance. It also notices one line was received only in part.
The AP clerk sees one card: matched lines in green, the partial receipt flagged with a suggested short-payment. One approval later, the invoice is posted and the supplier query is drafted.
A good fit when
- Your AP team keys in hundreds or thousands of supplier invoices a month.
- Most purchases run on purchase orders and goods receipts in your ERP.
- Month-end close is delayed by unmatched invoices and supplier queries.
- You receive a mix of PDFs, scans and e-invoices from many suppliers.
Probably not the first step when
- You receive only a few dozen invoices a month; the payback will be slow.
- Purchase orders and goods receipts are rarely recorded in the ERP, so there is nothing to match against yet.
- Your ERP vendor's built-in capture tool already covers your volume and suppliers well.
Systems it connects to
Works with the tools you already run.
We connect at the category level, through each system's own APIs, database views or exports, so the agent fits your stack rather than the other way round.
ERP
Purchase orders, goods receipts, vendor master and invoice posting through official interfaces.
Email inbox
Shared AP mailbox or scan-to-email folders for incoming invoices.
Document storage
Invoices and approval evidence are filed where your auditors expect them.
E-invoicing networks
Structured e-invoices, such as Peppol or a country's e-invoicing format, are read directly.
We are ERP-neutral. The same connection approach works with SAP S/4HANA and Business One, Oracle NetSuite, Microsoft Dynamics 365, Odoo, Tally, Sage, Epicor, Infor, and older or customized on-premise ERPs. We confirm the connection method for your version in discovery.
Security & control
You stay in charge of every change.
- No posting without approval; dual approval above thresholds you set
- Duplicate and fraud checks on bank details and supplier changes
- Full audit trail from email to posting
- Runs on-premise, in a private VPC or in the cloud
- Your vendor and payment data never trains public models

FAQ
Common questions.
What is three-way matching?
It checks that the invoice, the purchase order and the goods receipt agree on items, quantities and prices before an invoice is approved for payment. The agent does this line by line.
Can it handle invoices without a PO?
Yes. Non-PO invoices are coded from your rules and history, then routed to the right budget owner for approval.
How accurate is the extraction?
Accuracy depends on your invoice mix. We measure it on your own invoices during the pilot, and every invoice is still approved by a person before posting.
Does it work with e-invoicing?
Yes. Structured e-invoices are easier to process than PDFs. See our pages on UAE e-invoicing and Australian AP automation.
Will it pay suppliers automatically?
No. The agent prepares and posts approved invoices. Payment runs stay under your normal finance controls.
