AI agent · Customer Onboarding Agent
Automate customer onboarding, document checks and CRM setup
New B2B customers send their documents once. The agent checks them, runs your compliance steps and prepares the customer record for one-click approval.
Quick answer
How does AI customer onboarding work?
An AI onboarding agent collects a new customer's documents once, checks them for completeness and validity, runs your KYC and credit steps, and prepares the customer record for your CRM and ERP. A person approves the record with one click, and every check is logged for audit.
What it does
KYC document verification and onboarding compliance checks.
The agent chases, reads and checks. Your team approves the customer.
Collects documents
Sends a checklist, accepts uploads or email attachments, and chases missing items politely and on schedule.
Verifies documents with AI
Reads trade licenses, tax certificates, IDs and bank letters, checks dates and names, and spots mismatches between them.
Runs your compliance steps
Applies your KYC, sanctions-screening and credit rules, using the screening and credit tools you already subscribe to.
Creates the customer record
Prepares the CRM account and ERP customer master with addresses, tax numbers, payment terms and credit limit.
Keeps an audit file
Stores every document and check result in one file your auditors and bank can follow.
Workflow
From input to an approved update.
The agent does the work. A person approves the result. Only then does anything change in your systems.
- ApplicationNew customer submits a form and documents.
- AgentCollects, reads and verifies documents; runs your checks.
- Human approvalCompliance or finance approves the customer and credit terms.
- CRM & ERP setupApproved customer is created in your CRM and ERP.
1. Collect
The agent sends the right checklist for the customer type and country, and tracks what has arrived and what is missing.
2. Verify
It extracts names, registration numbers, tax IDs and expiry dates from each document and checks they agree with each other and with the application.
3. Check
It runs the screening and credit steps you specify and summarizes the results, including anything that needs a human decision.
4. Approve and create
An approver sees a one-page summary with the evidence. After approval the agent creates the customer in your CRM and ERP.
Before and after
What changes for your team once the agent is live.
| Area | Before (manual) | After (with the agent) |
|---|---|---|
| Application to approved account | Days or weeks of back-and-forth emails | Checklist, document checks and summary handled by the agent; often approved the same day |
| Missing documents | Applications stall until someone notices what is missing | Missing or expiring documents are requested automatically |
| Record errors | Customer data typed twice, into the CRM and the ERP | One approved record created in both systems |
| Checks | Screening and credit checks done by hand when someone has time | Your existing checks run every time, with the results attached |
| Staff time | Hours of chasing, checking and keying per new customer | One review and one approval |
We measure your own before-and-after numbers during discovery and the pilot.
Example scenario
Illustrative example · not a client result
A building-materials distributor in the UAE receives a credit-account application from a new contractor. The agent sends the checklist, receives a trade license, a VAT certificate and a bank letter, and notices the trade license expires in three weeks. It requests the renewed license, runs the sanctions screening the distributor already uses, and prepares the account with a proposed credit limit.
The finance lead approves it from one summary screen, and the customer exists in both CRM and ERP the same day.
A good fit when
- You open new B2B credit accounts or supplier accounts every week.
- Onboarding stalls while staff chase missing or expired documents by email.
- Several people re-key the same customer details into the CRM and the ERP.
- Auditors or banks expect a clear record of the checks you ran.
Probably not the first step when
- You add only a few new customers a year; a checklist and a shared folder may be enough.
- Your onboarding rules are not agreed internally yet; we would document them first.
- Onboarding is fully handled by a regulated third party you are obliged to use.
Systems it connects to
Works with the tools you already run.
We connect at the category level, through each system's own APIs, database views or exports, so the agent fits your stack rather than the other way round.
CRM
Leads, accounts and onboarding status, through your CRM's API.
ERP
Customer master data, payment terms and credit limits.
Email and web forms
Document requests, uploads and reminders.
Screening and credit tools
The sanctions, KYC and credit services you already subscribe to.
We are ERP-neutral. The same connection approach works with SAP S/4HANA and Business One, Oracle NetSuite, Microsoft Dynamics 365, Odoo, Tally, Sage, Epicor, Infor, and older or customized on-premise ERPs. We confirm the connection method for your version in discovery.

FAQ
Common questions.
Is this only for regulated industries?
No. Any B2B company that opens credit accounts, checks tax numbers or collects documents from new customers can use it. Regulated firms add their own KYC rules.
Does the agent make the compliance decision?
No. It gathers and checks the evidence and highlights risks. A person approves every new customer.
Can it use our existing screening provider?
Yes. We connect to the screening and credit services you already use rather than replacing them.
Can suppliers be onboarded the same way?
Yes. The same workflow works for supplier onboarding, including bank detail verification.
Where are the documents stored?
In your own document storage or a location you choose, with access limited to named roles. See our security page.
